In these terms and conditions, 'we', 'us' and 'our' refers to Maidstone Borough Council.‘You’, ‘your’ refers to the customer.
All tickets are sold on the Maidstone Borough Council Beyonk booking system subject to availability and to the terms and conditions set out below.
These terms and conditions should be read carefully prior to purchase and any queries relating to them must be raised with us prior to purchase, as purchase of tickets constitutes acceptance of these terms and conditions.
Ticket prices and sales
The price of the ticket shall be the price set at the time we accept your order. All of our tickets will be sent as e-tickets within your booking confirmation via the email you submit at checkout. Please ensure your email is typed correctly to avoid not receiving the booking confirmation. If you do not receive your booking confirmation within an hour of booking your ticket, please contact info@visitmaidstone.com so we can resend the confirmation.
All tickets (excluding free tickets) will have a booking fee added to the advertised price at checkout. Beyonk’s Booking Fee is valued at 4% + VAT (capped at £5.00+ VAT).
If a refund is applicable (please see cancellations/refunds section of the terms and conditions for the criteria) your booking fee will also be refunded.

Cancellations/refunds
All tickets can be cancelled by the customer if required. Free tickets can be cancelled by contacting us through the Beyonk ticketing system or emailing info@visitmaidstone.com.
For paid tickets, we strictly offer no refunds unless the event is cancelled or rescheduled by the organiser. You can still cancel your ticket if you are unable to make the event based on your own circumstances however you will not receive a refund, credit or exchange.
If the event is cancelled and not planned to be rescheduled, tickets will automatically be refunded to the original payment method used when purchasing the tickets. If the event is rescheduled, we may provide a time limit for refunds to be requested. If you do not request a refund within the specified period, we will be unable to refund payments. Refunds shall only be made to the person who purchased the tickets using the same method that was used to purchase the tickets.
It is the customer’s responsibility to ascertain whether an event has been cancelled or rescheduled. In such cases, we will make all reasonable endeavours to notify customers of the change as soon as we are made aware, but cannot guarantee all will be informed before the date of the event. It is the customer’s responsibility to respond in due course to agree to alternative action (e.g. refunds when events are rescheduled).
Entering the event
Event staff will either check names of the attendees who have purchased/booked event tickets or use the QR Code on your e-ticket/booking conformation email that will be sent to the email that is used at the booking checkout.
If someone has purchased your ticket for you, and the event staff are using barcode scanners, you will need to arrive with the event booker of your party as tickets will be allocated to the same barcode. We may not specify which method will be used upon entry, and the event staff have the right to change the method of confirming bookings, if required. Therefore, please be prepared for both methods and bring your e-ticket/booking confirmation with you.
Event staff have the right to refuse entry or remove a participant from the event in reasonable circumstances, including for health and safety, licensing reasons or where a ticket is void.
Event staff can also refuse entry or remove a participant if they:
Attendees must comply with instructions and directions provided by the event staff and stewards. No refunds will be given to ticket holders who are refused entry or ejected due to their own behaviour.
Children must be supervised at all times and supervision of children shall be by no less than one adult per 10 children. The event staff reserve the right to ask parents/supervisors to remove children if, in the opinion of the event staff, they are causing a disturbance.
E-tickets/booking confirmation
The e-ticket or booking email must be retained by the customer and made available for inspection if requested by the event staff. Failure to produce a valid e-ticket or booking email may result in refusal of entry or expulsion from the event.
It is the responsibility of the customer to check their tickets, as mistakes cannot always be rectified after purchase. Please contact us if you need to make any changes, which we will aim rectify, if possible. Please ensure that you input your details correctly throughout the booking process to avoid any problems when entering the event and when receiving your e-ticket/booking confirmation. We will not be responsible for any e-ticket or booking confirmation that is lost or stolen.
E-tickets can be printed if required which will need to be on your person during your attendance at the event to prove your booking.
We will only take responsibility for tickets bought from the Maidstone Borough Council Beyonk Portal.
Age requirements
Some of our events will include age limits or age suitability ranges. In some circumstances, event staff may request proof of age to confirm that the event is suitable for the participant. Event staff are permitted to refuse entry or ask the participant to leave the event if the customer cannot prove their age using a valid form of ID.
Please check each event listing for the age requirement. To avoid disappointment, please bring a valid form of ID with you in case you are asked to prove your age.

Photography
Photography and videography will take place at some of our events. These images may appear on Maidstone Borough Council affiliated social media accounts, on the Maidstone Borough Council, Visit Maidstone, and/or event organisers’ websites, brochures, and other promotional material. If customers do not wish to be photographed, please inform a member of staff at the event. (Photo consent forms will be provided if children are photographed.)
Changes to the event
The organiser of the event reserves the right to make alterations to the published event, description, programme and casting where reasonably necessary. Customers with existing tickets may not be eligible for refunds, on this basis.
Latecomers
Every effort shall be made to admit latecomers to events, if possible. Event staff are permitted to refuse entry if the participant is late. Ticket holders may only leave and re-enter the venue during an event at the discretion of the event staff. Refunds will not be available for latecomers who miss part or all of an event.
Health and safety
Ticket holders must comply with all relevant statutes, safety announcements and venue regulations whilst attending the event.
The Heart of Kent Walking Festival
The Heart of Kent Walking Festival has further terms and conditions due to the active nature of the event.
